There are three main stages that comprise our R&D claim process:
STAGE 1
Discovery and Strategic Planning
This is where the team lay the groundwork. It’s essential that I gain a deep understanding of your R&D activities and how they align with HMRC’s definition of R&D.
Technical Workshops
Our R&D Specialists hold in person or online sessions (depending on your preference) directly with your technical teams to gather most of the information we require to draft an initial technical description. We are mindful of your time, so as most teams already hold technical documentation or reports, the team can utilise these to minimise disruption and follow-ups.
Financial Review Sessions
Our Tax experts work directly with your finance team and external accountants to access the required financial data. We aim to minimise involvement from your internal team while still ensuring accuracy and completeness. A call will be required to review the financial data and discuss how this relates to the specific projects, but our team will provide legislation guidance and examples to aid your understanding.
Methodology and Risk Strategy
Every claim is different, meaning the team create a bespoke claims methodology that reflects the size, complexity, and specific nature of your business and R&D work. We also take into account the risk profile of certain claim areas and will openly discuss with you any commercial vs compliance considerations - always aiming to strike the right balance.
STAGE 2
Claim Preparation and Documentation
Once we’ve agreed on the strategy, we get to work compiling your claim with precision and care.
Technical Narratives
The team prepare clear, robust narratives that describe your R&D work in line with HMRC’s guidance, showcasing advancements, technical challenges, and the structured process behind each project. These are aligned not just with the letter of HMRC’s guidance, but also with its spirit and risk focus across your specific industry and activities.
Detailed Financial Analysis
We produce accurate breakdowns of direct and indirect R&D costs, matched clearly to individual projects. Every figure is backed by supporting data, meeting HMRC’s stringent expectations and providing evidence in the event of a compliance check.
Strategic Compliance Advice
The team will advise on how best to present your claim and gather information for further claims, including sampling techniques, project selection, and overall strategy. We aim to stay ahead of the curve on HMRC’s preferences, through our compliance specialists, who regularly discuss policy and review any changes to the legislation, to ensure your submission is as robustness as possible from every angle.
STAGE 3
Submission and Ongoing Support
The final stage isn’t the end of the journey — it’s where our continued support really makes a difference.
AIF Submission
The team handle the Additional Information Form (AIF) requirements on your behalf, keeping your submission in line with recent HMRC changes.
Integration with CT600 and CT600L
Your R&D claim will be fully integrated into your Corporation Tax Return and CT600L, working closely with your accountants to ensure everything is submitted correctly and efficiently.
Post-Submission Support
If HMRC has questions, we will manage the first round of correspondence for you, it’s all included as part of my service. The team will act as your liaison, helping to keep the process moving and reducing any uncertainty along the way.
